Collection and use of personal data from customers, suppliers and other contractors

We would like to draw your attention to the fact that we will collect and use the personal data you provide to us because this is necessary to conclude and execute any agreement with you. This applies to both our (potential) customers and parties from whom we purchase goods and/or services. 

 

If you are a (potential) customer of ours, we will use your data to send you a quotation, to determine which specifications or requirements a particular product or service must meet, to deliver products or perform work for you, to invoice you and to communicate with you smoothly and efficiently about the performance aspects of the agreement.

 

If you are a (potential) supplier or other contractor, your personal data is also necessary for the conclusion and execution of the agreement. In the case of purchasing, this is necessary in order to be able to inform you of the specifications or requirements that a particular item or service must meet in our opinion, to be able to send you a request for a quotation or to place an order with you, to be able to pay your invoices and to communicate with you smoothly and efficiently about other aspects of the agreement.

 

You are not obliged to provide us with your personal data. However, if you do not provide us with any or sufficient personal data, we may not be able to carry out the aforementioned activities.

 

Direct marketing to customers and other contractors

OPTION 1 (if you distinguish between one-off customers and customers with whom you have a long-term relationship and you only send emails to customers with whom you have a long-term relationship):

If you order from us regularly, we will store and use the personal data you have provided to inform you personally by email about our existing and new products and services in the future and to make you an offer for these if necessary. We have a legitimate interest in using your personal data for this purpose, namely to market our products and services. Every time we send you an advertising email, you have the option to let us know that you no longer wish to receive these emails. To do so, please use the unsubscribe link at the bottom of each email.

If you are a one-time customer, we will only send you advertising messages if you have given us your prior consent.

 

OPTION 2 (if you do not distinguish between one-time customers and customers with whom you have a long-term relationship and therefore ask all your customers for permission for direct marketing): If you have given us permission to do so, we will store and use the personal data you have provided to inform you personally by email about our existing and new products and services in the future and to make you an offer for these. Every time we send you an advertising email, you have the option to let us know that you no longer wish to receive these emails. To do so, please use the unsubscribe link at the bottom of each email.

 

Retention period for personal data of customers, suppliers and other contractors

If you have requested a quotation from us but have not become a customer, we will delete your data no later than one year after our last contact. Similarly, if we have received a quotation from you but have not become a customer, your personal data will be deleted no later than one year after our last contact. If you have become a customer of ours or we have become a customer of yours, we will retain your personal data for a period of seven years after the end of the financial year in which the agreement with you has been fully executed. The seven-year period corresponds to the period during which we are obliged to retain our records for the tax authorities. After this period, we will delete your personal data.

 

Collection and use of personal data from other business relations

We would like to draw your attention to the fact that we will collect and use the personal data you provide to us because you have given your consent or because this is necessary for the representation of our legitimate interests. We process the following data: name, address and contact details.

 

If you are a business relation of ours, we will use your data to contact you for purposes that are in the interests of our company. Examples include discussing a possible collaboration, providing and obtaining information, and maintaining our network.

 

You are not obliged to provide us with your personal data. However, if you do not provide us with any or sufficient personal data, we may not be able to carry out the aforementioned purposes.

Cookies
Cookies are small text files that are placed on your computer, tablet or smartphone when you visit our website. These text files store information that can be recognised by the website during a subsequent visit.

 

Our website uses tracking cookies if you have given your consent. We do this to collect information about your internet behaviour so that we can make you targeted offers for products or services. You may withdraw your consent at any time. Your data will be stored for a maximum of one year.

 

We also place functional cookies. We do this to make our website easy to use. Examples include storing products in your shopping basket or remembering your login details during your visit.

 

Analytical cookies enable us to see which pages are visited and which links are clicked on within our website. We use Google Analytics for this purpose. The information collected by Google in this way is anonymised as much as possible.

 

Transfer to third parties

In connection with the execution of any agreement with you, we may need to provide your personal data to parties that supply parts, materials and products to us or perform work on our behalf. We also use external server space to store (parts of) our sales and purchasing records and our customer database, which includes your personal data. For this reason, your personal data is provided to our server space provider. We also use Microsoft Office and the associated storage options for emails and other files. Finally, because we use a newsletter mailing service, your personal data is passed on to the provider of this service.

 

Your rights

You have the right to ask us to view your personal data. If there is reason to do so, you can also request us to supplement your personal data or to correct any inaccuracies. In addition, you have the right to request that your personal data be deleted or that the use of your personal data be restricted. You can also object to the collection and use of your data or lodge a complaint with the Information Commissioner's Office. Finally, you can request us to obtain your personal data or transfer that data to another party. Collection and use of personal data from applicants, temporary workers/payroll employees, interns and employees.

We would like to draw your attention to the fact that we will collect and use the personal data you provide to us because this is necessary for the application procedure or to conclude and execute a (possible) employment contract/internship agreement/temporary employment contract. In addition, certain personal data is necessary for the fulfilment and implementation of provisions from the collective labour agreement that applies to us. We also collect and use your personal data in order to comply with certain legal obligations. These legal obligations relate, for example, to the determination and payment of taxes and contributions for employees.

 

In view of this necessity, you are obliged to provide us with the personal data required for this purpose. If you do not provide us with any or sufficient personal data, we may not be able to complete the application procedure with you, enter into and execute an (possible) employment contract/internship agreement/temporary employment contract with you, or comply with our legal obligations.

 

If you are a (payroll) employee or intern, we will use your data to draw up, execute and terminate the employment or internship contract or the employment relationship. This includes, among other things:

  1. the handling of personnel matters;

  2. determining and paying your salary, allowances and other sums of money; and

  3. determining and paying any taxes, contributions and other fiscal obligations on your behalf as an employee or intern.

 

If you are a job applicant, we will use your data to communicate with you about the progress of the application procedure, the assessment of your suitability for a position that is vacant or may become vacant, and the possible settlement of any expenses you have incurred.

 

If you are a temporary worker, we will use the data we obtain from the temporary employment agency to assess your suitability for a position that is or may become vacant and to execute the temporary employment contract.

 

Transfer to third parties

We may transfer your personal data to other parties. These other parties may be government bodies, but also parties that carry out work on our behalf or parties to whom we are obliged to provide data in connection with the (performance of the) employment contract. These parties are:

  • the Tax and Customs Administration;

  • the UWV;

  • our occupational health and safety service/company doctor;

  • the Inspectorate for Social Affairs and Employment;

  • the Pension Fund;

  • the leasing company;

  • the absenteeism insurer;

  • our accountant/bookkeeper/payroll administrator.

 

Sometimes it will be necessary to provide your data to another party in order to comply with the law, such as when transferring data to the Tax and Customs Administration, the Employee Insurance Agency (UWV), the occupational health and safety service/company doctor, the (mandatory) Pension Fund and the Inspectorate for Social Affairs and Employment.

 

In other cases, the transfer is necessary in order to be able to execute the (employment) agreement with you, such as when transferring data to the leasing company. When providing your data to our absenteeism insurer, we have a legitimate interest, namely that this enables us to claim insurance benefits.

 

In addition, there are parties that carry out work on our behalf, such as the accountant/bookkeeper/payroll administrator. We have a legitimate interest in transferring your data to these parties. These activities are outsourced because of (among other things) the knowledge and expertise possessed by our accountant/bookkeeper/payroll administrator. The accountant/bookkeeper/payroll administrator needs your personal data in order to perform the (employment) contract with you.

 

We also use external server space to store (parts of) our personnel and payroll records, which include your personal data. For this reason, your personal data is provided to our server provider. In addition, we use Microsoft Office and its associated storage options for emails and other files. We have a legitimate interest in these two transfers, as we wish to store and process data digitally and outsourcing this has various advantages.

 

Retention period for personal data

We will delete your application data no later than four weeks after the end of the application procedure, unless you have given us permission to retain your data for a maximum period of one year.

 

We will retain personal data from the payroll administration that is relevant for tax purposes for a period of 7 years after you have left our employment. This retention period is related to a legal obligation that applies to us. We will retain income tax statements and a copy of your identity document for 5 years after the end of your employment. This retention period is also related to a legal obligation that applies to us.

 

For other data from the personnel or payroll records, we apply a retention period of no longer than 2 years after your employment has ended, unless it appears that certain personal data is necessary for us to comply with a legal (retention) obligation or in the event of a labour dispute or legal proceedings. 'Other data from personnel or payroll records' includes, for example, employment contracts, reports of assessment and performance reviews, correspondence regarding appointment, promotion, demotion and dismissal, certificates and administrative absence data.

 

Your rights

You have the right to request access to your personal data. If there is reason to do so, you can also request us to supplement your personal data or to correct any inaccuracies. In addition, you have the right to request the deletion of your personal data or to restrict the use of your personal data. You can also object to the collection and use of your data. If you believe that we are handling your personal data incorrectly, you can submit a complaint to the organisation that supervises privacy rules, the Information Commissioner's Office. Finally, you can request us to obtain your personal data or transfer that data to another party.

 

You cannot exercise the above rights in all circumstances. For example, if we need your personal data to comply with the law, you cannot object or request erasure.
